The Services Coordinator plays a central role in ensuring that all related services are delivered effectively and in compliance, aligned with student needs. Serving as the primary point of contact for families and the DOE, this role guides parents through the IEP/IESP process while managing communication around services, meetings, and evaluations.

DOE Liaison & Compliance
*Serve as the primary point of contact for families navigating the DOE process
*Liaise with the DOE regarding IEPs/IESPs, related services, hearings, and service updates
*Coordinate DOE visits, observations, and evaluations

Records, Scheduling & Service Oversight
*Maintain accurate, up-to-date records of students, mandated services, and assigned providers
*Ensure all documentation is collected, organized, and accessible
*Participate in the recruitment, interviewing, and hiring of related service providers
*Onboard new providers, ensuring clarity of expectations, schedules, and school procedures
*Oversee scheduling, including provider–student matching and ensuring mandated sessions are delivered appropriately
*Supervise clinical supervisors to ensure consistency and quality of services

Billing & Financial Coordination
*Review and verify provider timesheets and service logs
*Reconcile attendance, absences, and billed sessions
*Collaborate with agencies and internal staff to ensure accurate, compliant billing

Parent Communication & Support
*Guide parents through referrals, evaluations, service initiation, and documentation requirements
*Support completion of PNI forms and service authorizations
*Assist in gathering required reports and documentation

Qualifications & Core Skills
This role requires exceptional organizational and data management skills, strong attention to detail, and the ability to manage complex systems and deadlines with precision. The ideal candidate is a clear communicator who demonstrates strong ownership, responsiveness, and follow-through, along with discretion and professionalism in handling sensitive information. Experience with IEPs/IESPs and DOE systems is preferred.
