Yeshivah of Flatbush is seeking a detail-oriented and organized Administrative Assistant to join our team. The primary responsibility of this role is to ensure all classes are adequately covered in the event of teacher absences. The administrative assistant will be responsible for coordinating substitute teachers, maintaining an up-to-date schedule of teacher absences, and ensuring a smooth transition for substitute teachers into classrooms. Additionally, give administrative support to ensure efficient operation of the office, assisting in daily office needs.

Responsibilities:
Assist in organizing and managing middle school projects, events, and initiatives under the guidance of the executive assistant.
Receive and manage early morning calls notifying of teacher absences.
Quickly identify and contact available substitute teachers to fill open positions.
Maintain a database of substitute teachers’ availability, qualifications, and preferences
Manage scheduling logistics to ensure classrooms have coverage throughout the school day.
Communicate effectively with substitute teachers regarding assignments, expectations, and any necessary updates.
Submit monthly payroll to HR of all the teachers absences and substitutes
Allocating supplies to teachers
Signing students in and out

Skills:
Proficiency with Google Workspace (Gmail, docs, sheets, calendar, etc.)
Ability to work cooperatively and collaboratively with all levels of employees, management, and external agencies to maximize performance, problem-solving, and to achieve results
Respectful and caring mindset and a strong service orientation, both in working with colleagues, families, and students
Excellent communication skills; ability to communicate effectively with all levels of staff to firmly reinforce policies where needed
Aptitude to understand complex tasks and carry them out independently
Highly organized, detail-oriented, and able to manage multiple tasks efficiently
